Terms of Service

These terms apply to your use of Secure Portfolio Platform, provided by NORTHVANE Property. By creating an account, starting a trial or using the service you agree to them on behalf of yourself and, where you act for an organisation, that organisation.

1. About the service

Secure Portfolio Platform is an operational and administrative tool. It helps property organisations organise property, ownership and compliance records, identify missing information and prepare data and evidence for regulatory workflows, including the Register Your Rental Property service.

It is not legal advice. It does not replace your own responsibility to comply with the law and to check your records.

2. No government affiliation

Secure Portfolio Platform is not a government service and is not endorsed by or connected to any government body. We do not submit anything to government systems on your behalf. We do not guarantee that any government body, regulator or local authority will accept any registration, submission, pack or export you prepare with the service.

3. Who may use the service

The service is intended for use in connection with property letting, portfolio administration or property management activities in England, including by landlords, letting agents, property managers and similar organisations. You must be at least 18 and have authority to enter into these terms for yourself or your organisation.

4. Organisation accounts and users

An organisation account is held by the organisation, with one or more owners. Owners and administrators can invite authorised users and give them roles. You are responsible for who you invite, the roles you give them and what they do in the service.

Keep your sign-in details secure and tell us promptly at [email protected] if you think an account has been accessed without permission.

5. Your data and your responsibilities

  • You must have the authority and any rights needed to provide property, landlord, ownership and tenancy information and uploaded documents to the service.
  • You are responsible for the accuracy and completeness of the information you provide.
  • You are responsible for keeping your own source records. The service is not a substitute for them.
  • You give us the rights we need to process your content to provide the service to you. You keep your rights in your content.
  • Do not provide more personal information than is needed. In particular, the service does not need tenants' names, contact details or dates of birth.

6. Acceptable use

You must not:

  • use the service unlawfully, or to provide false or misleading information;
  • try to access another organisation's data or any part of the service you are not allowed to use;
  • interfere with, overload or attempt to bypass the security of the service;
  • upload malicious files or content you have no right to provide; or
  • use automated means to access the service other than as we allow.

7. Free trials

Plans start with a 7-day free trial. You add a payment card when you sign up. Nothing is charged during the trial, and your paid plan starts when the trial ends unless you cancel first. The trial, the first charge and your term are shown to you before you confirm.

8. Paid subscriptions and billing

Plans, prices and billing options are shown on the pricing page. Billing options include annual payment upfront, monthly payment under a 12-month minimum term, and flexible monthly payment with a shorter minimum term. Each plan allows an upper number of active properties.

Payments are taken through our payment provider. The price, billing option, minimum term and renewal are shown to you before you pay. Subscriptions renew at the end of each billing period unless cancelled. Outstanding amounts remain payable.

9. Plan changes

Organisation owners can request to change plan or billing option. Before you confirm, we show what will change, any amount due and when it takes effect. A change takes effect only after you confirm it.

10. Cancellation

Organisation owners can cancel from within the service. Before you confirm, we show you when your service will end, whether any payments are still due and what happens next. You keep full access until the service end date, and the subscription does not renew.

If you cancel during a free trial, nothing is charged and the subscription does not start. Until the service end date you can change your mind and keep your subscription.

If you cancel during a minimum term, amounts due under that term remain payable.

11. When service ends, and retrieving your data

After a paid service ends, the organisation's account stays available for a retrieval period of 30 days. Access in that period is intended for retrieving your records and may be limited to viewing and exporting. We give notice before the period ends.

Organisation owners can request an export of the organisation's records and documents. Exports are available to download for a limited time, so download yours promptly.

12. Suspension and termination

We may suspend or end access if these terms are broken, if needed to protect the service or other users, or where required by law. Where we reasonably can, we will tell you why and give you a chance to put things right first.

13. Availability and changes to the service

We work to keep the service available but do not promise it will be uninterrupted or error free. We may maintain, change or improve the service, and will tell you about changes that materially affect you.

14. Third-party services

The service relies on third-party providers, for example for sign-in, hosting, document storage, payments and email. Their services are subject to their own terms, and we are not responsible for providers' failures beyond our reasonable control.

15. Intellectual property

We and our licensors own the service, its software and its branding. You may use the service as these terms allow. You keep ownership of your content.

16. Liability

Nothing in these terms limits liability that cannot be limited by law. Subject to that, we are not liable for losses that arise from inaccurate or incomplete information you provide, from decisions you or others make using the service, or from a government body's decision on anything you prepare with it.

Further provisions on liability form part of the contract we agree with customers, and we will publish them here as they are finalised.

17. Changes to these terms

We may update these terms. The date at the top shows when they were last updated. Where a change materially affects you, we will take reasonable steps to tell you before it takes effect.
